Welcome to the mobile application "Medgami QR Scan" (hereafter referred to as the "App" or "Platform"). The Platform is owned and operated by EPC Tech Pvt. Ltd. ("Company", "we", "our", "us"), having its registered office at 13th Floor, 1316, Hubtown Solaris, N.S. Phadke Road, Near Flyover Bridge, Andheri (E), Mumbai – 400069, Maharashtra, India (www.epctech.in).
This Privacy Policy explains how information is collected, used, stored, disclosed and protected in connection with the use of the App. We request all users ("you," "your," "User") to read this Privacy Policy carefully before using the App.
This Privacy Policy applies exclusively to Medgami QR Scan, a restricted-access, invite-only mobile application built for authorised conference organisers, event partners and on-ground operational staff. The App is not available for public download or open registration.
By accessing or using the App with valid credentials, you consent to the terms of this Privacy Policy and agree to our processing of information as described herein. The Company reserves the right to modify this Policy at any time without prior notice. However, the Company must notify the Users about such changes in the Policy.
The App collects and processes only the minimum necessary information for legitimate operational purposes, including:

We follow reasonable process i.e., industry standard and generally accepted technical and organisational measures aligned with generally accepted security practices to protect your data against unauthorised access, alteration, disclosure, or destruction. All information transmitted through the App is encrypted and securely stored.

In the event of a merger, acquisition, or restructuring, your data may be transferred to the new entity with equivalent safeguards as applicable under the laws of the India.
As a native mobile application, Medgami QR Scan does not use browser based cookies. However, limited device or usage analytics may be collected to enhance performance, security and application stability.
We retain user and scan-related data only for as long as necessary to fulfil the purposes described or as required by law. An event cycle is considered concluded when all associated activities, including event execution, reporting and settlement processes are completed. At that point, all access credentials and operational data specifically related to that event are archived or anonymised. The data shall be archived or anonymised at the sole discretion of the Company.
The User must indemnify the Company against all claims, losses, or expenses arising from misuse, legal violations, breaches, or third-party claims related to the App, with obligations continuing after termination under Indian law.
The User must keep all Company-related Confidential Information secure, use it only for authorized purposes, and not disclose it without consent, except as required by law. They must protect it with reasonable care, report any unauthorized use, and return or destroy it upon termination. Obligations last for 3 years post-termination and comply with Indian data protection laws.
Users may request corrections or deletion of their data, subject to event and legal requirements, by contacting: customercare@medgami.com. We shall endeavour to address such requests within thirty (30) days of receipt.
Neither party is liable for delays or failures caused by events beyond their control (e.g., natural disasters, pandemics, war, outages). Affected parties must notify the other, mitigate impact, and resume obligations ASAP. If such events last over 30 days, the Company may suspend or terminate services. Payment and confidentiality obligations remain unless impossible.
Under no circumstances shall the Company its employees, officers or contractors be held liable for any indirect, incidental, or consequential damages arising from the use of, or inability to use, the app or the data processed therein to the maximum extent permitted by law, in no event shall the total aggregate liability of the Company, its employees, officers, or contractors exceed INR10,000 (Indian Rupees Ten Thousand).
This Privacy Policy shall be governed by the laws of India, and any disputes shall be subject to the exclusive jurisdiction of the courts at Mumbai, India.

By using this App, you ("User," "You") agree to comply with these Terms of Use ("Terms"). If you do not agree, please refrain from accessing or using the App.
Medgami QR Scan facilitates operational management at conferences and events, including registration check-ins, lunch access control, and activity participation verification through real-time QR code scanning.
All rights, titles, and interests in the App, including software, content, design, and branding, remain the exclusive property of the Company. Users are granted only a limited, non-transferable, revocable right to use the App for authorised event operations.
All data captured during scanning and check-ins remains the property of the Company, while the Company shall grant license to the respective event organiser and is managed through the Company's Admin dashboard in compliance with applicable privacy laws.
The app is provided "AS IS" and "AS AVAILABLE" without warranties of any kind, whether express or implied. The Company does not warrant that the app will be error-free or uninterrupted or that data synchronisation will always occur in real time.
The Company shall not be liable for any loss or damage, including indirect, incidental or consequential damages, arising from the use of or inability to use the app or data obtained through it to the maximum extent permitted by law, in no event shall the Company's total aggregate liability arising from or related to these terms or the app exceed INR 10,000 (Indian Rupees Ten Thousand).
Users must keep all Confidential Information secure, use it only for authorized purposes, and not disclose it without prior consent except as required by law. They must protect it with reasonable care, report any unauthorized use, and return or destroy it upon termination. Exceptions apply for public, lawful, independently developed, or legally required disclosures. Obligations survive for 3 (three) years post-termination and comply with Indian data protection laws.
The Company reserves the right to suspend or revoke access at any time for reasons including, but not limited to violation of these Terms, security concerns (such as unauthorized access or data breaches), system maintenance or upgrades, compliance with legal or regulatory requirements, or other operational needs necessary to ensure the proper functioning and integrity of the App.
The Company may update these Terms periodically. Continued use of the App after any such updates constitutes acceptance of the revised Terms. The Company must duly notify the Users about the change in the Policy.
These Terms shall be governed by and construed in accordance with the laws of India. All disputes shall be subject to the exclusive jurisdiction of the courts of Mumbai, India.
